Terms of participation
1. Main purposes of the Exhibitions
To present a premier exhibition for the travel industry.
To provide Exhibitors with conditions necessary for commercial activities, business meetings and negotiations.
2. Application procedure and dates
Company wishing to take part in the Exhibition shall forward an Application to RESTEC® Exhibition Company.
The company shall be considered registered as Exhibitor after the Organizer receives the Application form.
Applications received less than 30 days prior to the Exhibition shall be considered only if exhibition space will be available.
Soon after receipt the Application form for participation in the Exhibition the Organizer shall direct to the Exhibitor the Contract for participation, an invoice and the Exhibitor Manual.
3. Services package and payment
The Services package includes the exhibition space rental, additional services and equipment. Prices for services provided by the Organizer are indicated in the Application Form and in the Exhibitor Manual.
Registration fee amounts to 230€ and includes: Registration of 2 participants; catalogue listing including company description – maximum 500 characters in Russian / English in the official exhibition catalogue; a copy of the catalogue, 10 complimentary tickets, participation in all exhibition events except those requiring personal invitation.
Unequipped space costs 265€ per sq m and includes space, general aisle cleaning, pavilion security.
The list of additional services provided by the Organizer on the basis of independent agreement can be extended. The Organizer shall have the right to provide additional services requiring special knowledge, equipment and permissions (licenses) with help of third parties having such knowledge, equipment and permissions.
A basis for providing such services shall be an independent Contract concluded by the Exhibitor and potential Contractor. The Organizer shall not be a part of such Contract and shall not be liable for any failures connected with it.
The Organizer shall have the right to provide discounts for space only and shell scheme.
The Exhibitor's representative at the Exhibition must have a letter of authority and some identification document to prove his/her authority to act on behalf of the Exhibitor. The Exhibitor's authorized representative at the Exhibition, must have copies of payment orders proving that payment for exhibiting has been made and a letter of authority giving the right to conclude contracts and effect payments signed by the company's head and its chief accountant and bearing the company's stamp.
Only those exhibitors, who have all financial documents confirming payment, are given admission to work at the event. Representative of a company-exhibitor must have a letter of attorney to sign financial documents or a letter, authenticated by signature and a stamp of the company's director. If the Exhibitor's representative does not possess the documents, stating his powers to act on behalf of the Exhibitor, the Organizer has the right to deny the Exhibitor's representative in giving out the informational and financial documents, including the certificate of rendering of services and the invoice.
4. Payment procedure
Pre-payment for participation shall be made on the basis of invoices, issued by the Organizer, by a bank transfer in the amount of 30% of the exhibition space cost and 100% of the registration fee within 5 bank days from the date of the invoice issue into the current account of the Organizer. Full payment shall be effected not later than 30 days prior to the Exhibition set-up. Simultaneously with the transfer of money the Exhibitor shall notify the Organizer of the payment order number, date and amount of the transferred payment.
If the money shall not be received at the Organizer's current account by the Exhibition opening or if the transfer shall not be confirmed by the payment order, the Organizer shall consider its obligations under this Contract null and void, the Exhibitor shall be disallowed to participate in the exhibition and shall be liable to compensate the Organizer all its losses.
In the event the Exhibitor submits an application for additional services unmentioned and unpaid under this Contract, these additional services shall be paid separately from the amount indicated in Article 3.1. of this Contract. Final payments shall be made within 3 bank days on the basis of an acceptance certificate signed by both Parties on the last day of the Exhibition.
5.Withdrawal
In the event of the Exhibitor's withdrawal from the Exhibition or reduction of its stand floor area after signing the Contract to Exhibit, the Exhibitor shall pay compensation in the following amount:
- if notified to the Organizer about the reduction of its stand floor area or withdrawal from the Exhibition one month prior to the stated date of the Exhibition build-up – 50% of the payment for the reduced stand floor area and provided services
- if notified to the Organizer about the reduction of its stand floor area or withdrawal from the Exhibition after the stated date – 100% of the payment for the reduced stand floor area and provided services
The Exhibitor shall notify the Organizer of its withdrawal or reduction in written form. The day when the Organizer receives the Exhibitor's written notification shall be considered as notification date.
6. Construction and decoration of stands
Exhibition space is provided to the Exhibitor for constructing a stand and placing equipment thereon for the period of the Exhibition mentioned in the Contract. The Exhibitor may construct stands and temporary structures by own efforts both on indoor and outdoor areas.
Exhibitors who ordered only space shall provide design, decoration and construction of their stands by themselves. In this case the exhibitor shall, not later than 30 days before the exhibition build-up, provide the Organizer with a full set of technical documents (in two copies) for approval. The Organizer shall consider and approve the design within one week or inform the Exhibitor of required changes which shall be effected by the Exhibitor. Any changes in the approved designs shall be allowed only with the Organizer's consent in writing.
In case you order a shell scheme, you will be provided with a shell assembled of wall panels and equipped as stated in the Application Form and the Exhibitor Manual.
All temporary structures and stands shall be placed within the area provided to the Exhibitor. Gangways for visitors (not less than 3m wide) must be free. If stands are constructed along the walls of the exhibition hall a 1m passage must be left for fire safety reasons.
During the whole Exhibition the Exhibitor shall comply with the exhibition rules and regulations. Exhibitors who failed to register on-site during the first day of the exhibition before 12.00 shall be considered non-arrived. The Organizer reserves the right to let exhibition space of such exhibitors to other exhibitors or to use it for its own purposes.
During the whole exhibition the Exhibitor shall provide visitors with conditions necessary for review of its exhibits. Stand decoration as well as the content of posters, texts, inscriptions shall conform to the requirements of the exhibition topics, aesthetics and comply with the Russian Law on Advertising.
7. Rules of work at the Exhibition
- Before the completing of dismantling, Exhibitors check mutual settlements with the Exhibition Management office and return all the equipment and fitments in sound condition or compensate their full price in case of damage. Until all financial procedures are completed, removal of the exhibits and equipment from the territory of the exhibition is prohibited.
- Entrance in the pavilion during the work of the exhibition is allowed from 9 a.m. with the participants' badges.
- The Exhibition is open for the visitors with invitations and tickets October 16th from 10 a.m. to 6 p.m. for participants, from 11 a.m. to 6 p.m. for visitors.
- Commercial activity during the exhibition is carried out in accordance with the acting legislation. If a company not accredited as an exhibitor carries out a commercial activity, the Exhibitor's activity in this case is terminated immediately. Money in this case is not returned.
- Cleaning of the stand is carried out by the Exhibitors or ordered at the Organizer's office at the expense of the Exhibitor.
- During the Exhibition the Organizer provides for the general security of the territory (pass control, public order at the territory of the exhibition). The Organizer is not responsible for the exhibits and other goods of the Exhibitor during the working hours of the exhibition. The Exhibitor may complete a contract with a special security company.
- The rental ground may be used exclusively in compliance with the goals of the exhibitions.
8. License and certification
Exhibitors whose activities are subject to obligatory licensing are recommended to have the corresponding license or its copy. If a product demonstrated at a stand us subject to obligatory certification it is recommended:
- to bring the certificate or its copy
- to place information: "subject to obligatory certification"
In case of presenting to the Organizer the promotional information about the Exhibitor and/or its product for the publishing in the official catalogue and/or for advertising campaign within the Exhibition, the Exhibitor, whose activity is subject to obligatory licensing, shall provide the Organizer with a valid copy of the license or a valid copy of a product certificate or indicate: "subject to obligatory certification".
The Exhibitor bears responsibility for the contents and reliability of the information promotional materials hand over to the Organizer by an Exhibitor, for conformity of the information promotional materials to the requirements to the Russian Federation Law on Advertising.
9. Security
The Organizer implements general security of the Exhibition territory (to secure pass mode in day and night time and keep the public order on exhibition territory within business hours). The security service guard does not bear any responsibility within business hours for safety, loss or damage of exhibits and other assets belonging to Exhibitor, their agents or persons working for an Exhibitor or invited by them.
10. Fire and technical safety, quarantine and sanitary rules and regulations
Exhibitors shall comply with the following requirements on fire and technical safety:
Smoking is allowed only in specially designated and equipped areas.
When operating electrical appliances and equipment it is prohibited to:
- use damaged sockets, switches and other electrical equipment
- in case of some failure of electrical equipment it is strongly prohibited to mend it by own efforts without an appointed electrician
- to wrap lighting equipment with paper, fabric and other flammable materials as well as to use them with removed caps
- to leave without control plugged electric heating appliances, TV sets, radios, etc.
- to use non-standard electric heating appliances, fuses or other non-standard (self-made) equipment destined for protection against short-circuit
It is prohibited to obstruct fire passages, passages leading to fire taps and power switchboards with boxes and other containers left after placing exhibits at stands.
All events of special character, such, as lectures, demonstrations of films, distribution of the promotional materials out side of the Exhibitor stand, sound and musical support, the Exhibitor should previously coordinate with the Organizer.
It is absolutely forbidden to:
- Use nails or glue in the decoration of the stand to avoid damage of the wall panels
- Smoke, use open fire or unsound electrical devices, use highly inflammable and acrid liquids, to cumber stand and passages with empty tare
- Carry out advertising and commercial activity for the companies not accredited at the Exhibition
11. Cancellation or postponement of the Exhibition
In the event the Exhibition dates are changed or the Exhibition is cancelled because of circumstances beyond the Organizer's control, RESTEC® Exhibition Company shall notify Exhibitors of it in writing within 3 days after the occurrence of such circumstances in accordance with the Contract.
12. Property of the Organizer
In case of damage or loss of the exhibition equipment and/or of a property given by the Organizer, the Exhibitor shall compensate their market cost.
