APPLICATION FOR PARTICIPATION AND TERMS FOR SUBMITING DOCUMENTS
A company wishing to take part in the Exhibition shall introduce to the Organising Committee an application for participation and company information for the Catalogue prior to February 14, 2011 to be registered as an Exhibitor. Applications received after February 14, 2011 will be considered in case of available vacant space. As soon as the application received the Organising Committee sends back the Contract for Participation in the Exhibition and information about basic services.

PARTICIPATION COST

The cost of participation includes: registration fee, cost of exhibition space and additional services.

1. Registration fee
The Exhibitor shall pay the registration fee that amounts to 475 Euro.
The registration fee covers a copy of the Catalogue; a package of information documents; participation in all the Exhibition events except those where a personal invitation required; placement of information in the Catalogue (up to 500 characters); registration of visitors; 2 complimentary tickets to the stand up reception; 5 complimentary tickets to the exhibition.

2. Unequipped space
1 sq. m of unequipped space amounts to 260 Euro if the application introduced prior to February 1, 2011.
1 sq. m of unequipped space amounts to 308 Euro if the application introduces after February 1, 2011.
The cost of unequipped space covers exhibition space, 1 Exhibitor badge per each 4 sq. m with the right to enter the exhibition, the exhibition venue general security, insurance, cleaning of aisles and public places.
Note! In case of construction a double-deck stand the cost of second floor amounts to 50% of cost of 1 sq. m of unequipped space including VAT.

INDIRECT PARTICIPATION
Indirect participation amounts to 475 Euro.
A company can participate in the exhibition indirectly. In such case the Organising Committee, if the Exhibitor wish, place advertising prospects, information handouts and business offers at the INDIRCT PARTICIPATION stand. Moreover, the Exhibitor information is included in the Catalogue (at most 500 characters) and a copy of the Catalogue is sent to the Exhibitor.

Black&white or color information materials, trade mark, logo etc. can be printed in the Catalogue if introduced by e-mail prior to February 14, 2011 as an additionally paid service.
The cost of additional materials printing (incl. VAT):

  • Cover (3rd, 4th pages) – 1300 Euro
  • А5 page (color) – 700 Euro
  • ½А5 page (color) – 440 Euro
  • Logo (b&w)– 160 Euro
  •  А5 page (b&w) – 430 Euro
  •  ½А5 page (b&w) – 319 Euro

THE EXHIBITION OFFICIAL CATALOGUE
The Official Catalogue is composed in the Russian and English languages based on the information received by Exhibitors not later then February 14, 2011.

All the information shall be provided in the form downloaded at www.restec.ru/transcon

Note! If your services or products are subject to be licenced, your advertising materials shall contain the licence number and the authority that issued the licence. Advertising of products subject to obligatory licencing shall contain the note subject to obligatory licencing. Dully certified copies of licences and certificates shall be sent to the Organising Committee together with company information to the Catalogue.

PAYMENT PROCEDURE
After the application registered and invoice received the exhibitor shall effect the advanced payment according to the following procedure:
 - in case of signing the Contract less then 6 calendar months before the date of the Exhibition opening: the Exhibitor shall pay 70% of the total cost of the Contract within 5 banking days since the date when the invoice was issued for payment;
- in case of signing the Contract more then 6 calendar months before the date of the Exhibition opening: the Exhibitor shall pay 50% of the total cost of the Contract within 5 banking days since the date when tha invoice was issued for payment.
The Exhibitor shal effect the total payment for participation in the Exhibition not later then 30 days before the date of the Exhibition set up.
The cost of the Contract does not include the Exhibitor’s transportation expenses and insurance of property to be placed at the stand. All the expenses shall be paid by the Exhibitor.
The cost of incomplete square meter of unequipped space shall be paid as a full one by the Exhibitor.
The Exhibitor shall inform the Organising Committee with the number of money order, date and sum of the payment; in a case the sum is not transferred to the Organising Committee’s account by the beginning of the Exhibition set-up or the payment transfer is not confirmed with the money order, the Organising Committee has a right to decline responsibilities upon the Contract and to deny Exhibitor access to the Exhibition, although the Exhibitor shall compensate the Organising Committee for loss.
In case the Exhibitor submit an application for additional services which are not provided upon the Contract, the Exhibitor shall pay for the services separately. Mutual settlements shall be performed within 3 banking days on the basis of Acceptance Certificate to be signed by both Parties on the last day of the Exhibition. Total cost of the Organising Committee’s services provided to the Exhibitor shall be stated in the Acceptance Certificate.

CANCELLATION

In case of reduction of exhibition space or cancellation Exhibitor shall inform the Organising Committee in writing and effect payment of the following penalties:
- In case of notification on reduction of exhibition space or cancellation from 3 to 4 months prior to the specified date of Exhibition set-up – 50 % of the cost of the Contract;
- In case of notification on reduction of exhibition space or cancellation less than 3 months before the Exhibition set-up – 70% of the cost of the Contract.
